Abbott, author of A Manager's Guide to Newsletters: Communicating for Results A colleague recently circulated an email memo. And while the memo contained valuable information, readers might have missed important parts. Why? Because his memo was one long paragraph. In the course of that one paragraph he raised and dealt with several issues, without a single break. That's a reading marathon. Paragraphs (as well as sentences, clauses, and phrases) help us separate ideas so they have more impact. There's no rule about the length of paragraphs, except perhaps that they should be long enough to say whatever needs to be said. However, in business writing, I would recommend a maximum of about five lines. I sometimes break the rule myself, but usually there's a reason. I like a five line maximum because short paragraphs meet contemporary reading needs. With so much information around, we probably scan as much or more than we read. And, scanning works best with a series of short paragraphs, rather than a few long paragraphs.
